    Meetings and voting

Meetings are where owners make decisions. Getting the process right keeps those decisions valid.

How do we hold a strata AGM?Send a notice with the agenda, motions and financial statements within the notice period your state requires. At the meeting, check quorum, work through the agenda, vote on motions, elect the committee and approve the budget. Then circulate the minutes to all owners. How much notice is needed for a strata meeting?General meetings need written notice to every owner a set number of days beforehand, with the agenda attached. The period differs between states, and committee meetings have their own rules. Missing the notice period can make decisions invalid, so plan ahead. What is a quorum at a strata meeting?Quorum is the minimum number of owners (or entitlements) that must be present, in person or by proxy, for the meeting to make decisions. The required number depends on your state. If quorum isn't reached, the meeting is usually adjourned. What's the difference between an ordinary and a special resolution? An ordinary resolution passes with a simple majority of votes. A special resolution needs a much higher level of support and is used for bigger decisions such as changing by-laws or some common property changes. Exact thresholds depend on your state. How do proxies work at strata meetings? An owner who can't attend can appoint someone else to vote for them using a proxy form, lodged before the meeting. Most states limit how many proxies one person can hold and how long a proxy lasts. Keep proxy forms with the meeting records. Can strata meetings and votes be held online? Most states now allow electronic attendance and voting at strata meetings, sometimes subject to a resolution or by-law. Check your state's rules. Online meetings make it easier for owners to take part and for the building to reach quorum. How do we write strata meeting minutes?Record the date, who attended, whether quorum was reached, each motion, the voting result and any declarations of interest. Keep them factual and brief, circulate them to owners within the required time and store them permanently with the records.
